Temp Senior Administrative Coordinator
Pay Range: $33.00 - $43.50/hr
Onsite Role in Sleepy Hollow, NY
12 Month Contract
The Temp- Senior Administrative Coordinator will primarily support the Vice President, Talent but may also provide support to the team. The incumbent will prioritize and manage the calendar travel, and time commitments for the VP, and help drive clear, concise communication and commitments between the VP, her department, Senior Management and partners with the assistants across the organization. There will also be a concerted focus on continuous improvement for department processes.
JOB RESPONSIBILITIES:
- Anticipates the needs of leaders and teams in order to handle and problem solve all logistics.
- Responsible for submitting requisitions and tracking department purchase order requests and may coordinate broader department expenses.
- Coordinates multiple administrative workflows within the department to streamline increasingly complex processes.
- Highly collaborative with strong written and verbal communication skills; ability to interact across all levels of employees and management while maintaining confidentiality.
- Ability to understand departmental and/or leader priorities and
adjust work accordingly while maintaining a high level of accuracy and attention to detail. - Handles calls, business travel, expenses, interview schedules and any other activities of the VP.
- Professionally handle highly-confidential work for the department and its leader.
- Run and drive communications pertaining to meetings, calls, documents, travel, etc.
- Handle critical and sensitive projects and meetings daily, smoothly and efficiently, receiving little direction.
- Collaborate with Senior Management, Program Management, Human Resources, Information Technology, Corporate Communications, Legal, Facilities and other Assistants on current company priority projects
- Act as 1st & 2nd back-up coverage for other administrative assistants as needed.
- Takes the lead on the preparation and assimilation for new leaders within the department(s), including coordination with IT, Facilities, and Procurement. Assists SVP with department space planning and may assist in headcount tracking.
- Display advanced knowledge of company policies, procedures and resources and acts as a point person for leader(s)/department(s) taking the lead to raise potential continuous improvement efforts to current processes. Connects with the proper departments to share findings and may work with teams on obtaining new solutions.
- Actively handles department contact lists/org charts.
- Proactively manages and updates content on department SharePoint sites and/or RON pages.
- Handle all logistics for any onsite or offsite meetings for the SVP and the department
- May order supplies & catering for key meetings then procure approvals & payments as needed.
JOB REQUIREMENTS:
Education
- • AA degree or BA/BS preferred.
- This role requires working on site a minimum of 3 days per week
Experience:
- Works comfortably with all levels in the organization including senior managers. Understands how senior leaders think and what they expect. Anticipates their needs.
- Superior attention to detail required, along with a strong ability to develop and maintain relationships with varied levels of internal and external stakeholders and a focused ability to multi-manage in deadline-driven settings. Exceptional prioritization, optimization, communication and organizational skills are necessary.
- Highly collaborative within the department as well as being sought out by peers cross-functionally.
- Ability to interact across all levels of employees and management while maintaining confidentiality. Demonstrated organizational knowledge and ability to understand department and leader priorities while potentially supporting groups with increasingly complex responsibilities.
- Is a quick learner, can cope and make good decisions despite change and ambiguity; skillfully handles risk and uncertainty with composure and shifts gears with ease.
- Highly independent and shows advanced judgment and problem-solving skills. Comfortable leading projects. Ability to coordinate team members cross-functionally.
- Consistently exercises considerable judgement and initiative with the ability to influence partners and understands key relationships. Minimal guidance is provided.
To be qualified for this role you must have 5 plus years, with at least 2 of those years working within the biotech, academia, biopharma or pharmaceutical companies and for executive management preferred. We are looking for someone with proficiency in MS Office, SharePoint, Concur and Skype teleconference systems with the ability to assist with more advanced troubleshooting.
